Key takeaways

  • Start with user journeys and handoffs between teams.
  • Define data sources, access rights and ownership for each flow.
  • Validate one focused workflow before expanding integration.
01

Start with experience and workflow

An appointment request may pass through a portal, an intake team and an internal management system. Repeated data entry makes it difficult to identify the authoritative record. Discovery should follow one request from creation to completion and document ownership and state changes.

For this reference scenario, AQPTech proposes a focused workflow prototype, such as request intake or status notifications. Engineering objectives are agreed with the organization and remain separate from clinical assessment.

02

Design the integration layer

Inventory existing systems, record identifiers and permitted exchange methods. Integration flows need duplicate detection, failure handling and reconciliation. A consolidated screen is useful only when users can identify the source and freshness of the information.

Where suitable APIs are unavailable, agree an exchange approach with the system owner before development. Prototypes should use synthetic or appropriately prepared data under the project’s requirements.

03

Align access with responsibilities

Separate viewing, status updates and configuration administration. Enforce authorization at APIs as well as in the interface, and record enough activity to investigate incidents. Define account lifecycles and access removal when responsibilities change.

Retention, processing location and storage requirements must be confirmed by the responsible organization. These become design inputs rather than assumptions based on a cloud or on-premises choice.

04

Prepare for service interruptions

Operators need to know which workflows can continue when a connection is unavailable. Design pending states, retry behavior and resolution for conflicting updates. Backups become useful when restoration has been tested.

Acceptance testing should simulate lost connectivity, duplicate records and revoked accounts. Record how users are informed and who owns resolution.

05

Choose data locations and the cloud model

Confirm storage locations, administration rights and data paths before selecting infrastructure. Separate operational records, test data and diagnostic information to decide where each belongs.

A hybrid design can retain selected systems on premises and synchronize only the necessary information. Review data-flow maps, access mechanisms and recovery plans together during the PoC.

06

Agree a measurable proof of concept

Choose a scope with an owner, test data and clear completion criteria. Observe request handling time, repeated-entry steps and failure traceability in the prototype. Use the evidence to decide whether to revise or expand.

Proposed outputs include an integration diagram, interface prototype, test report and operating guide. Actual delivery scope is confirmed after discovery.
