Key takeaways

  • Choose a focused support task with an accountable owner.
  • Scope data and tools to the user’s permissions.
  • Evaluate both correct answers and appropriate human escalation.
01

Start with a support task

One scenario to discuss is an assistant that helps staff find approved operating guidance. It returns relevant passages, sources and versions for review before a response. This makes the intended value concrete without giving a model transaction authority.

Select tasks based on frequency, available information and the ability to build an evaluation set. This is a proposed design scenario rather than a claim about an AQPTech financial-services deployment.

02

Prepare data and permissions

Inventory documents, owners and review dates. Separate internal guidance from customer-facing material. Apply the current user’s permissions before passing retrieved content to a model.

Personalization should use information permitted for an agreed purpose. Access alone is not a reason to place an entire profile in context; justify each data field.

03

Bound tools and actions

Distinguish read-only tools from tools that change records. A retrieval assistant does not need profile-update permissions. Writing steps require input checks, authorization and the agreed approval process.

Make proposed, pending and completed actions distinguishable. Tool failures should preserve the actual state and provide a human handoff.

04

Evaluate before and during a pilot

Build a question set covering normal requests, conflicting guidance, obsolete documents and out-of-scope prompts. Check answers, citations and escalation. Run cases under different permissions to detect inappropriate retrieval.

During the pilot, collect feedback in line with the project’s data requirements. Use repeated failures to improve documents, retrieval settings or approval flows.

05

From retrieval assistants to workflow agents

An incremental path separates understanding information from acting on it. Each expansion needs evaluation and accountable tool ownership.

  • Source-grounded retrieval: locate guidance, check versions and point users to original documents.
  • Intake support: classify requests, prepare summaries and suggest next steps for staff review.
  • Tool coordination: call authorized APIs, record outcomes and pause at approval boundaries.
06

A bounded pilot plan

A PoC can include one document collection, one user group and read-only tools. After acceptance, assess expansion against evaluation results, data governance and operating ownership.

Proposed outputs include an assistant prototype, evaluation questions, a permission model and quality monitoring guidance. Confirm sector-specific requirements with the responsible organization before deployment.
